Searching for an event photographer for a conference, reception or corporate gathering quickly leads to dozens of portfolios. The differences are rarely about “nice photos” — everyone claims that — but about experience with your type of event, delivery speed and how invisibly someone works. This checklist helps you compare fairly.
1. Portfolio: look for similar events
Don’t just judge atmosphere shots; look for situations that match your programme: keynotes, networking, panels, VIP receptions. A photographer who mainly shoots weddings or festivals works differently from someone used to World Forum, Fokker Terminal or embassy protocol. Ask specifically for recent conferences or corporate events in the Randstad.
2. Delivery speed: 24 hours matters
For LinkedIn, newsletters and press, a first selection the same day or within 24 hours is invaluable. So compare not only final delivery (often 2–5 working days), but whether a fast highlight set is possible. That is one of the strongest differentiators between event photographers.
3. Price: what does “from €650” mean?
For business events, a realistic starting rate is often around €650 for a half day. A full day or larger conference usually lands between €850 and €1,250, depending on duration, venue, number of photographers and rush delivery. Be wary of quotes that are structurally much lower without a clear scope: you often miss retouching, usage rights or a second photographer for parallel sessions.
4. Venue knowledge and a discreet approach
Large venues have their own logistics: routes, lighting, security. An event photographer who knows World Forum, Ahoy or RAI misses fewer moments and disrupts the programme less. Ask how they work during keynotes: quietly, with available light where possible, and without flash in speakers’ faces unless agreed.
5. Rights, selection and communication
Agree in advance: roughly how many images you’ll receive, which usage rights (web, LinkedIn, press, print) and how the download works. Clear communication before the event — briefing, timeline, on-site contact — prevents missing critical moments.
