For many organisations, the first selection of images is at least as important as the complete set. Press releases, LinkedIn posts and internal newsletters need to go out quickly — preferably the same day or the following morning.
Ask about the turnaround time for an initial selection versus the full edited set. A professional event photographer can often deliver a direct selection within 24 hours for immediate communication, while the complete post-processed set follows within a few days.
4. Technical quality in challenging lighting conditions
Conference and event venues are rarely photographically straightforward. Low natural light, mixed artificial lighting, dark auditoria with a lit stage — these are conditions where less experienced photographers fall short.
Review the portfolio specifically for this type of image: are photographs sharp in low light? Is the balance between stage and audience handled well? Noise in the dark areas of an image is a common problem with photographers who lack experience in dynamic environments.
Experience in concert and festival photography is a reliable indicator. A photographer used to working at events like North Sea Jazz or large music festivals is prepared for any lighting challenge at a corporate event.
5. Clear agreements in advance
Ambiguity around usage rights, publication and delivery leads to complications later. May your organisation use the images without restriction for internal and external communication? Will the images also appear in the photographer's portfolio — and is that acceptable for a confidential event?
